Description: Rank : Executive Assistant IIIA Office : Department of Pathology, Hong Kong Children’s Hospital (HKCH), Kowloon Central Cluster Pay : HK$14,031 - HK$17,733 per month Responsibilities: Assist in the day-to-day operation and carry out general clerical duties in department, such as perform data input, general and store administration, patient registration and records, counter work and public enquiries and etc. as assigned by the supervisor. Assist in inventory of supplies and related stores keeping and inventory checking of furniture and equipment, consumables and IT, training equipment and other departmental assets. Assist in obtaining quotations & purchase information and maintain laboratory records, and if required, trace laboratory other investigation, departmental documents and reports. Arrange transport and courier services for the department. Assist supervisors to perform recording and other administration procedures meeting accreditation requirement, thus support training activities and site preparation of the meetings. Assist in preparing monthly and ad hoc returns to management and managing ward / department guidelines & protocol, patient information such as pamphlets and Staff Rostering Systems entering. Perform any other duties as assigned by supervisors. Requirements 1. F.5/ S.5 with: 5 subjects passed in HKCEE including English Language (Syllabus B) and Chinese Language, or equivalent; OR 5 subjects in HKDSE attaining the level specified below: Level 2 in English Language and Chinese Language, and Level 2 in New Senior Secondary subjects/ “Attained” in Applied Learning subjects (subject to a maximum of 2 subjects under this category)/ Grade E in Other Language subjects, or equivalent. Preferred Attributes/Exposure With experience in laboratory operation, healthcare facilities, procurement, and logistics management, or possession of relevant qualifications. Good in typing and computer software applications, e.g. MS Word, Excel, Access, PowerPoint and Chinese Word Processing. Good command of written and spoken English and Chinese. Responsible, independent and organized with good communication and interpersonal skills. Hardworking with a strong sense of responsibility, willingness to learn and adapt. Willing to work overtime during peak seasons. Remarks For Serving HA Staff The selected candidate will be offered either contract or fixed term appointment for 1 - 3 years depending on his/her existing employment terms. The offer of salary to serving employees upon changes in appointment will be determined based on the remuneration package / employment terms of the staff concerned and prevailing policies. For External Applicants Appointment will be on contract terms for 1 - 3 years . 5% of total basic salary as end-of-contract gratuity may be offered upon completion of contract with satisfactory performance. Retiring / retired HA staff who wish to continue working for HA after their normal retirement may also apply. If selected, the terms and conditions of employment will be offered in accordance with prevailing policies of the Retired and Rehire Mechanism of HA. For All Applicants Renewal of contract will depend on funding, operational needs and appointee’s performance. The selected candidate may be required to work irregular hour and perform shift duties. The selected candidate may be required to perform 24-hour shift duty and to perform duties during typhoons, rainstorms and other emergencies. The selected candidate may be required to wear uniform, N-95 mask and personal protective equipment when discharging duties.
