Description: Rank : Executive Assistant II Office : Various Departments, Kowloon Central Cluster Pay : HK$ 17,888 - HK$ 21,743 per month Key Responsibilities : 1. To provide daily administrative and clerical support . 2. To coordinate and organize meetings, programmes and activities. 3. To handle enquiries, perform reception duties, liaise and communicate with staff and clients. 4. To prepare reports and draft meeting notes. 5. To carry out general clerical duties that includes filing, data entry, statistics and record keeping. 6. To retrieve documents , compile statistics and data research . 7. To compile reports including procurement and budgeting reports for management review. 8. To help with the u se of various hospital systems for supplies ordering, repair & maintenance and duty input as assigned by supervisor. 9. Perform any other duties as assigned by supervisors. Entry Requirements : 1. University Graduates; OR 2. F.5/ S.5 AND relevant diploma in a specialized function with experience. Preferable Attributes/ Exposure: 1. Responsible, self-motivated, outgoing and able to work independently with good telephone manner and interpersonal skills. 2. Proficiency in PC applications, such as MS Access, Excel, Word, PowerPoint and Chinese word processing. 3. Experience in managing a high volume of data. 4. Good command of written and spoken English and Chinese. Remarks : For Serving HA Staff 1. Serving staff who have completed F.5 / S.5 or equivalent and have 2 years’ relevant experience within HA may also be considered. 2. The selected candidate will be offered either contract or fixed term appointment for 1-3 years depending on his/her existing employment terms. The offer of salary for serving employees upon changes in appointment will be determined based on the remuneration package/employment terms of the staff concerned and prevailing policies. For External Applicants 3. Candidate appointed on contract terms will be offered a contract for 1 - 3 years. 5% of total basic salary as end-of-contract gratuity may be offered upon completion of contract with satisfactory performance. 4. Retiring / retired HA staff who wish to continue working for HA after their normal retirement may also apply. If selected, the terms and conditions of employment will be offered in accordance with prevailing policies of the Retired and Rehire Mechanism of HA. For All Applicants 5. Candidate appointed on temporary terms will be offered a contract for up to 1 year. 6. Selected candidate may be required to perform shift duty and wear uniform. 7. Selected candidate may be required to work in another work location to meet service needs of the HA. 8. Renewal of contract will depend on funding, operational needs and appointee’s performance.
