Senior Administrator (Admissions Focus)

Island School is looking to appoint capable candidate to promote the school by providing an efficient and effective admissions procedure and to manage the process efficiently as well as providing administrative support service in general.

The person is to maintain the Admissions process and smooth transition of knowledge, advance hiring to ensure all relevant data and information are in place prior next school year.

Main Accountabilities

Manage admissions process and ensure high quality admissions services are provided
Responsible for all the day to day management of student admissions and withdrawals
Handle all queries via email or telephone in an orderly manner regarding admissions, waiting lists and school information, admissions consultation
Manage and efficiently maintain application data on OAS (on-line admissions system)
Screen applications to the school to ascertain whether to proceed with the application based on admission criteria; ensure requisite supporting documentation is supplied and application fee payment has been made
Plan and manage the admissions calendar of events and the related operations, including information sessions, school tours, admissions applications, assessments and registration events
Manage waiting lists and school capacity in regards to availability of spaces
Record admissions activity case by case for both accepted and rejected applicants for future reference
Manage data tallies and spreadsheets of current admissions as well as predicted numbers and provide monthly report to management
Produce admissions statistics for tracking application trend and status
Represent the school at official meetings of the ESF Admissions Group
Liaise on a regular basis with other ESF schools
Conduct/arrange regular tours and information sessions for prospective families and students
Providing administrative support as necessary
Liaising with teachers, parents, students and school departments
Perform other duties and assumes accountabilities as apparent or as delegated

Minimum typical education

Business Administration degree or equivalent


39 hours excluding lunch hour per week

Abilities (required):

5 years relevant experience in a complex customer service role with administrative support experience
Fluency in written and spoken English are an essential requirement
Cantonese and Mandarin is desirable
Outstanding skills in the use of technology are essential.
Previous school-based experience is desirable but not essential.
Ability to follow established standards and adhere to policy
Excellent interpersonal / communication skills
Excellent organisational skills
Self-initiative and can work independently and under pressure
Capable of taking up assignments independently
Reliability; initiative and follow up
Problem solving skills; flexibility to respond to changing situation
Project management ability

Knowledge (desirable):

Applies good understanding of school’s or department’s major functions, work methods and procedures and their interrelation with other department’s responsibilities and activities
