Description: Rank : Personal Secretary II Office : Central Nursing Division, Kowloon Hospital Pay : HK$16,787 to HK$34,260 (HGPS point 3 to 15) per month including Monthly Allowance (See Remarks 3) Key Responsibilities : Provide secretarial and clerical support to the Central Nursing Division (CND), which include: Provide support to the day-to-day operation of CND. Answer enquiries and provide reception service when necessary. Carry out office administration and clerical duties including scheduling appointment & booking, filing & record keeping, venue reservation and writing meeting minutes. Assist in drafting duty rosters, leave arrangement and training activities of Department staff. Assist to organize, coordinate and provide support to different meetings, programs and activities. Compile, consolidate, file and retrieve corporate documents, records, reports, service statistics and meeting materials. e.g. PowerPoint Supervise junior / supporting staff. Perform any other duties as assigned by supervisors. Entry Requirements : (a) Passes in 5 subjects in the HKCEE including English Language (Syl. B), or equivalent. OR (b) 5 subjects in the Hong Kong Diploma of Secondary Education attaining the level specified below: Level 2 in English Language, and Level 2 in New Senior Secondary subjects/ “Attained” in Applied Learning subjects (subject to a maximum of 2 subjects under this category)/ Grade E in Other Language subjects; or equivalent. Typing speed of (50wpm) with good skills in word-processing. Knowledge of common office automation (eg E-mail, Internet/Intranet) and PC applications (eg Excel, PowerPoint) & other secretarial skills (eg audio typing and shorthand) as specified by user department. Good command of both spoken and written English and Chinese. Preferred Attributes / Exposure : Degree holder. Proficiency in English writing & reading. With working experience in drafting meeting minutes in English. Good computer knowledge in MS Word, Excel & PowerPoint. Strong commitment and reliability for secretarial work and output. Self-motivated, mature and ability to handle tasks independently. Efficient in coordination and organization of day-to-day office operation. Good interpersonal and communication skill, and can work smoothly with other Department staff and external parties. Remarks: For Serving HA Staff 1. Serving staff who do not meet the academic requirements but with 3 years’ experience within HAHO or HA hospitals / institutions in word processing or typing, and have: a. Grade E or above in English Language (Syl B) in the HKCEE; or Level 2 or above in English Language in the HKDSE, or equivalent; OR b. Passed the Hong Kong Government In-service Personal Secretary II Qualifying Examination; OR c. Grade E or above in the written part of Government Standard English Examination (Higher) may also be considered. 2. The selected candidate will be offered either contract or fixed term appointment for up to 1-3 year(s) depending on his/her existing employment terms. Serving contract employee may be offered contract employment with an up to 15% total basic salary (after deducting the contribution of Mandatory Provident Fund by Hospital Authority) as end-of-contract gratuity upon completion of the contract with satisfactory performance. Serving permanent employee will be offered a fixed term appointment with a reversion clause according to the prevailing policies. 3. The offer of salary and allowance (Cash Allowance, Fixed-flexi Allowance or Monthly Allowance) for serving employee will be made in accordance with prevailing policies. For External Applicants 4. Appointment will be on contract terms for up to 1-3 year(s). Up to 15% of total basic salary (after deducting the contribution of Mandatory Provident Fund by Hospital Authority) as end-of-contract gratuity may be offered upon satisfactory completion of contract. 5. Retiring / retired HA staff who wish to continue working for HA after their normal retirement may also apply. If selected, the terms and conditions of employment will be offered in accordance with prevailing policies of the Retired and Rehire Mechanism of HA. For All Applicants 6.
