Description: Rank : Executive Assistant II Office : Administrative Service Division, Hong Kong East Cluster Pay : HK$17,888 - HK$21,743 per month Working location : General Outpatient Clinics and Wong Chuk Hang Hospital Key Responsibilities: 1. Provide administrative, secretarial and clerical support for the daily operation and task implementation of various administrative service functions in General Outpatient Clinics, including but not limited to prepare presentation papers or report, take meeting notes and/or draft correspondences. 2. Assist in asset management, procurement & material management at local level including asset data, stock-taking and asset disposal. 3. Assist in the coordinating returns, perform data input and analysis, documentation and records keeping. 4. Assist in coordinating and organizing meetings, programmes and/or activities. 5. Assist in handling enquiries from stakeholders to ensure effective and timely support to clinics. 6. Perform general clerical duties and any other duties as assigned by supervisors. Entry Requirements : 1. University Graduates; OR 2. Completed F.5/S.5 with : i) P asses in 5 subjects in the HKCEE, including English Language (Syl B) and Chinese Language, or equivalent; OR ii) 5 subjects in the HKDSE attaining the level specified below: Level 2 in English Language and Chinese Language; and Level 2 in New Senior Secondary subjects/ “Attained” in Applied Learning subjects (subject to a maximum of 2 subjects under this category) / Grade E in Other Language subjects; AND diploma in a specialized function Preferred Attributes /Exposure : 1. Experience in providing secretariat / executive support in healthcare setting . 2. Experience in working in ERPS (Oracle) environment and EAM will be an advantage. 3. Good command of both spoken and written English and Chinese. 4. Proficient in PC applications, including English and Chinese word processing, MS Word, Excel, Powerpoint and etc. 5. Good communication, interpersonal and organization skills. 6. Strong team spirit, able to work independently under pressure and accomplish tasks within tight schedule, and dedicated to quality service. Remarks : For Serving Staff 1. Serving HA Staff who has completed F.5/S.5 or equivalent and have 2 years’ relevant experience within HA may also be considered. 2. The selected candidate will be offered either contract or fixed-term appointment for up to 33 months depending on his/her existing employment terms . 3. The offer of salary to serving employees upon changes in appointment will be determined based on the remuneration package/employment terms of the staff concerned and prevailing policies. For External Applicants 4. Appointment will be on contract terms for up to 33 months . 5% of total basic salary as contract-end gratuity may be offered subject to completion of contract with satisfactory performance. 5. Retiring / retired HA staff who wish to continue working for HA after their normal retirement may also apply. If selected, the terms and conditions of employment will be offered in accordance with prevailing policies of the Retired and Rehire Mechanism of HA. For All Applicants 6.
