Job Description

As the Customer Service Manager Hongkong, you will manage all OEM Asia to Asia orders and shipments between our Asian based OEM customers (Bike Brands and Bike Assemblers) and our Asian based suppliers.

You will manage the Customer Order processing in our Navision system, place the orders at our Suppliers and manage all the logistics with forwarders from the Asian based Supplier to the Asian based Customer. You will provide regular reports to the GPS Finance Leader. About 20-25% of your time, you will be in contact with Asian customers to manage the relationship and investigate business opportunities. Occasionally you will visit some of the customers and join various Asian based bike fairs.

This position reports directly to the GPS Commercial Director EMEIA.

The role will have a direct report (Customer Logistics Specialist)

Customer service (CX)

Since we do not work with stock, the order processing is as below:

Our incoterms are FOB China, Taiwan. We are responsible to send the goods to forwarder warehouses.

Receiving the confirmed order from the customer

Placing in Navision the customer order which automatically creates the order confirmation

The customer order creates a purchase request automatically

According to purchase request we issue the PurchaseOrder to the Supplier in Navision

Send the PO to the suppliers, there can be 2 or more suppliers involved in one order

Receiving the ex-factory dates from the suppliers (their PI to us)

Sending the order confirmation to the customer with the date in line with the suppliers

Issuing invoice from Navision

Our payment term is mostly T/T at BL fax copy, so we follow up the payment. It may vary to a week after the BL.

Office Administration

Sending regular reports to the Finance Leader (Account payable, Account receivable lists, cash situation including the daily bank reports)

Follow up of account receivables

Follow up of legal documents ( BR, MPF payments etc.)

Miscellaneous administration jobs when necessary

Back up to the second employee of the office when necessary.

Following up the production

Collect packing lists from the supplier when the order is finished

Liaise with the designated forwarder of each customer

Packing list preparation for the customs manually, following up the B/L from the forwarder

Applying for Certificate of Origin if needed

Liaise with customers for their customs clearance

Profile

Fluent in English and Mandarin is a must

Strong communication Skills

Likes to work in an international multi-cultural environment

Well organized, self-driven

Leadership Skills and able to work in autonomy

Affinity with Biking or Sports or Outdoor business

Knowledge/expertise about OEM business or B2B2C is a plus

Knowledge/expertise about Navision is a plus

Minimum 5 years in a management position
